FieldSafetyTalk Privacy Policy

FieldSafetyTalk (“FieldSafetyTalk,” “we,” “us,” or “our”) is a product of PreTaskPlanner LLC. This Privacy Policy explains how we collect, use, and protect information when you use our website and services (the “Service”). By using the Service, you agree to the practices described here.

1. Information we collect

Account information. When you create an account, we collect information such as your name, email address, and password credentials, and any organization or company details you provide.

Content and usage data. We collect the safety talks you deliver, schedules you create, and records generated through the Service, along with usage information about how you interact with the Service.

Worker sign-off information. When workers participate in a safety talk through the Service, we collect information necessary to create an attendance and sign-off record. This may include the worker’s name (or identifier) as entered, their signature, timestamps, the talk delivered, comprehension responses, and technical signals associated with the sign-off (such as device or network information used to distinguish individual-device from shared-device signing). This information is provided and controlled by the account holder (for example, the employer or foreman) who uses the Service to run safety meetings.

Technical information. We automatically collect certain technical information such as IP address, browser type, device information, and log data.

Payment information. If you purchase a paid plan, payment is processed by our third-party payment processor. Payments are processed by Stripe. We do not store full payment card numbers on our servers.

2. How we use information

We use the information we collect to:

  • provide, operate, and maintain the Service;
  • create and store the safety-talk records, sign-offs, and participation history you generate;
  • authenticate users and secure accounts;
  • communicate with you about your account and the Service;
  • process payments for paid plans;
  • improve and develop the Service; and
  • comply with legal obligations.

3. Roles and responsibilities for worker data

FieldSafetyTalk is a tool used by employers, contractors, and safety personnel (“Account Holders”) to run and document safety meetings. Account Holders are responsible for the worker information they collect and enter into the Service, including having any necessary notice or consent from their workers, and for using the resulting records lawfully. We process this information on the Account Holder’s behalf to provide the Service.

4. How we share information

We do not sell your personal information. We may share information with:

  • Service providers who help us operate the Service, including our hosting and infrastructure providers Supabase (authentication and database) and Vercel (hosting). These providers process data on our behalf.
  • Stripe, our payment processor, to handle transactions.
  • Legal and safety — when required by law, to comply with legal process, or to protect rights, safety, and property.
  • Business transfers — in connection with a merger, acquisition, or sale of assets.

5. Data retention

We retain account information and safety-meeting records for as long as your account is active. Upon cancellation or termination of your account, we provide a 90-day grace period during which Account Holders may export their generated records. After 90 days, we will securely delete or anonymize your data, unless a longer retention period is required by applicable law.

6. Data security

We use reasonable technical and organizational measures designed to protect information. See our Data Security page for more detail. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your rights and choices

Depending on your location, you may have rights regarding your personal information, such as the right to access, correct, or delete it, or to object to or restrict certain processing. To make a request, contact us at privacy@fieldsafetytalk.com. If your information was entered by an Account Holder (for example, worker sign-off data), please also contact that Account Holder, who controls that information.

8. International users

The Service is operated from the United States. PreTaskPlanner LLC is a Delaware limited liability company. If you access the Service from outside the United States, your information may be transferred to and processed in the United States.

9. Children’s privacy

The Service is not directed to children under 18, and we do not knowingly collect personal information from them. Account holders must be at least 18 years old.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version with a revised “Last updated” date.
